Registration is held daily in the Alconbury Elementary School (AES) office between the hours of 7:30 AM and 4 PM.  Registration must be completed before 11:00 AM in order for your child(ren) to attend school the next day.  If registration takes place after this, your child must wait the next full day before starting school.  Sponsors may not register a child  who is not in country without orders.  Registration cannot be done by mail.  

 

If your child is entering kindergarten or first grade (without attending an accredited kindergarten for the full year), they must be 5 (or 6 respectively) on or before 31 October of the year they enroll. 

 

You must have the following items to register your child(ren).

 

Your child’s social security number.

 

Your child’s passport or birth certificate.

 

A copy of the sponsor’s orders with the child(ren) listed as accompanying dependents.  Navy orders do not list dependents.  A copy of the sponsor’s page 2 of the Service Record is acceptable.  If not available, a Certificate of Eligibility (DSE Form 803) will need to be completed.  DOD civilian personnel will need proof of Local Quarters Allowance (usually shown in orders).  If not, a DSE Form 802 must be completed.  NAFI personnel will have to complete a DSE Form 802(NAFI) before their children can attend classes.  These forms can be obtained from the school office and verified by your orderly room or personnel officer.

 

Immunizations    Prior to enrollment, your child is required to have the following;  Hepatitis B series, Varicella (chicken pox), Polio, DPT, and MMR vaccines.  The last dose of  DPT, Polio, and MMR must be administered after the child’s  fourth birthday. 

 

 Forms accepted are:  (a) Certification of Immunization (DS Form 122.1 (Rev May 02).

Form (a) is attached and can be downloaded.  Form (b) is generated by a military medical facility.    If you are not military or do not have access to a military hospital, download form (a) and have your personal pediatrician or GP sign the form.  AES recognizes that for a variety of reasons parents arrive to enroll their children without the proper immunization validation form.  If this is the case, DS Form 122.1 is supplied by the school office to the parent. If military, RAF Upwood (the tribase military treatment facility) will validate your child’s immunization records.   However, some civilians may not be entitled to use the Upwood facilities.  If this applies, form (a) must be signed by your British GP.   Children not meeting this requirement cannot enroll. 

 

 

Stateside Emergency Contact.  This is usually the grandparent of the child but can be any designated adult residing in the US.  Address and phone number are required.  If your designated guardian resides in the UK or another country, this information must be provided. 

 

School Records.  AES will need copies of your child’s records from his/her previous school.  If at all possible, it is best if you bring the school records with you.  While, it is not necessary to have the records at time of registration, it makes it possible for AES and your child’s new teacher(s) to meet their needs more quickly.   Request the records from your current school when you let them know your child is leaving.  They will provide them to you.  Request that they be sealed if the school has not already done so.  If there is an IEP or your child is in the gifted or another ‘special’  program, ensure these records are included.  Do not break the seal on the records.  If, for some reason, your school cannot release the records before you leave, bring the school’s address and phone number with you and AES will request the records on your behalf. 

 

School Physicals are not required to enroll in AES.  However, the youth center requires children a physical to play sports.  If possible, have this done before you PCS.  If your child recently had a physical, please bring a copy of the report. 

 

Tuition paying students.  Not all children eligible to enroll at AES can attend without paying tuition.  Sponsors who belong to the following categories will want to check with their employers to find out if the employer/company is willing to pay the tuition fees.

(a)    State Department, FAA, GAO, etc

(b)    US Instrumentality (e.g., part time NAFI)

(c)    Red Cross, Scouts, Active Duty TDY, NG/Reservist Deployments, Contractors

(d)    Foreign DoD Member serving with NATO, UN, etc

(e)    US citizen hired locally, retired military

(f)      Foreign National (Foreign Gov’t)

(g)    Other foreign national (private)

All tuition paying students are eligible for enrollment only on a space available basis.

If the employer/company is willing to pay tuition fees, a letter from the company verifying this must be submitted to DoDDS with a copy to AES.  The school staff is happy to provide an example of a central billing letter.   While registration can take place without the letter (if the students are on the orders as qualifying for DoD schools) the tuition paying student cannot start school until this letter is received. 

 

Space available students.  Non-command sponsored dependents of military and DoD civilians, NAFI (full time), NIS/PFP, and some DoD (case-by-case) employees are eligible to attend AES tuition free but only on a space available basis.
